Session and Program Information — notes related to your training sessions, progress, and programming adjustments made over time.

Website Usage — basic analytics data such as pages visited and time on site, collected through website platform tools. This data is anonymous and not linked to individuals.

Why We Collect It

Health and contact information is collected solely for the purpose of delivering safe, effective, and personalized personal training services. Specifically, it is used to:

  • Assess your readiness for physical activity

  • Design programming appropriate for your health status and goals

  • Communicate with you about sessions, scheduling, and progress

  • Fulfill any legal or professional obligations related to client safety

We do not collect information for marketing purposes without your explicit consent, and we do not sell or trade your personal information under any circumstances.

The PAR-Q+ and Health Screening

As part of our intake process, all new clients are required to complete the 2023 PAR-Q+ (Physical Activity Readiness Questionnaire for Everyone). This form is a nationally recognized health screening tool used by qualified exercise professionals across Canada.

Information disclosed on the PAR-Q+ is used exclusively to ensure your safety during physical activity. It is stored securely, kept strictly confidential, and shared only in circumstances where your safety or the safety of others requires it — for example, if you have authorized April March Fitness to communicate with a referring healthcare practitioner.

PAR-Q+ clearance is valid for 12 months from the date of signing. You will be asked to update your screening if your health status changes or at annual renewal.

Sharing Your Information

We do not share your personal information with third parties except in the following limited circumstances:

  • With your consent — for example, if you are referred to April March Fitness by a chiropractor, physiotherapist, or other healthcare provider and have authorized communication between your trainer and that practitioner

  • As required by law — if disclosure is required by a legal obligation or to protect the safety of an individual

  • With service providers — limited technical data may be processed by our website platform (Squarespace) or scheduling tools, governed by their own privacy policies

How We Store and Protect Your Information

Client records, including PAR-Q+ forms and session notes, are stored securely in digital or physical formats accessible only to April March. We take reasonable precautions to protect your information from unauthorized access, loss, or disclosure.

Paper forms are stored in a secure location. Digital records are password protected. We retain client records for a minimum of seven years in accordance with general professional practice standards, after which they are securely destroyed.

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:

  • Access the personal information we hold about you

  • Request corrections to inaccurate or incomplete information
